Keep stakeholders informed automatically

Replace manual status emails with a living project dashboard and short video updates. Stakeholders always know where things stand without you having to write a report from scratch each week.

  1. 1
    Notion

Create a Notion page called Project Status Hub. Add a header section with the project name, owner, and current phase. Below that, add three columns: This Week (what shipped or progressed), Next Week (what is planned), and Risks and Blockers. Update this page every Friday before end of day. Share the page publicly with view-only access and send stakeholders the link once so they can bookmark it and check at any time without needing a Notion account.

  2. 2
    Loom

Every Friday, record a 3 to 5 minute Loom using your Notion page as a visual anchor. Walk through what changed in each section and highlight any decisions that need stakeholder input. Keep it conversational and specific by mentioning names, dates, and numbers where possible. Copy the Loom share link and paste it at the top of your Notion status page under a section called Latest Update.

  3. 3
    Zapier

In Zapier, create a Zap with a Schedule trigger set to run every Friday at 4pm. Connect it to a Gmail or Outlook action that sends a templated email to your stakeholder distribution list. In the email body, include a direct link to the Loom video and the Notion status page. This ensures every stakeholder gets the update at the same time each week with no manual sending required.
